The client
Willba is a Finnish cloud property-management system for hotels, resorts and sports institutes, built by Nemit Oy in Turku and sold under its own brand. It combines bookings, resource planning, housekeeping and catering tasks, frontdesk, a direct-booking webshop, room and lobby displays and reporting in one system. Customers include Pajulahti, Finland’s Olympic and Paralympic training centre, and the Kisakallio sports institute.
The challenge
Willba’s product vision was not the issue. Capacity was. Customers were signing on faster than a small team could ship, and the venues Willba serves need far more than room booking: events, resource scheduling, payment terminals, accounting integration, guest-facing displays.
Every week spent on backlog was a week a competitor could use — but adding people to a system this dense only helps if they understand it well enough to make decisions that hold up.
What we did
Embed, don’t outsource. Rather than a parallel discovery phase, we joined Willba’s codebase, roadmap and sprint process directly: one engineer first, then a second, working as members of the team with shared sprints, a shared repository and full ownership of the code with Willba.
Over four years our engineers owned or co-owned the sign-in and permissions layer, three payment integrations, the CRM module, the invoice generator and the integration tooling that lets the platform plug into third-party systems, and contributed across accommodation, tasks, resource planning, the webshop, frontdesk, displays and reporting. Willba’s public release log records 31 production releases in 17 months — about two a month — each shipped with existing customers running throughout.
Moonlysoft has since concluded its part of the engagement with a clean handover to Willba’s team, as the company refocused on AI and product work.
Results
- More than four years embedded in Willba’s own sprints, with a Moonlysoft engineer listed on the product’s public contact page.
- 31 public production releases in 17 months while our engineers were on the team, including webshop booking, single sign-on, granular permissions and certified accounting integration.
- Three payment gateways, authentication, CRM and invoicing built by Moonlysoft.
- The platform grew from an early booking product into nine-plus integrated modules serving national sports institutes and hotels across Finland.
