The client
KNM Romania is one of the country’s largest EU-funds consultancies: a €653 million portfolio across fifteen years of regional, national and recovery programmes, win rates of 95–99%, and a design-and-engineering arm for the technical side of those investments. The group works through three legal entities with more than thirty specialists in economics, law, engineering, EU affairs and taxation.
The challenge
Winning projects was never the problem. Running them was. Every project in implementation lived in a twelve-sheet spreadsheet updated by hand, and one central tracker held 4,500 formulas that only its authors could maintain. The sales database of 100,000 companies held little usable data per record, so qualifying a lead meant manual registry lookups.
KNM needed three companies on one system, with consolidated finance, running on its own infrastructure.
What we did
We mapped the full consulting lifecycle — funding-call analysis, proposal writing, contracting, multi-year implementation and reporting — across more than ten roles, then recommended a custom platform rather than bending an off-the-shelf tool around rules that change with every programme.
The first phase shipped in ten weeks and was accepted without objections. The funding portal holds calls, state-aid types and eligibility grids. The CRM took in the 100,000-record database and enriches each company automatically from its registration number, with offers and invoices issued from the same place. Proposal writing covers budgets, procurement, activities and indicators, with document editing built in. The finance module forecasts per tranche, syncs invoices both ways with the accounting system and consolidates the three companies. Administration adds timesheets, organisation charts and performance grids. The work is ongoing, with the implementation module scoped as the next phase.
Results
- Phase one built and accepted without objections in ten weeks.
- Four modules in daily use — funding portal, CRM, proposal writing and finance — replacing the twelve-sheet trackers.
- 100,000 client and lead records imported, with company data filled in automatically instead of looked up by hand.
- Three group companies consolidated on one platform with group-level financial reporting.
- Configurable without code changes: payment tranches, notification types and similar settings live in a content layer KNM controls.
